Add Certificate of Insurance

A Certificate of Insurance (COI) is a document issued by an insurance company/broker that is used to verify the existence of insurance coverage under specific conditions granted to listed parties. The document lists the effective date of the policy, the type of insurance coverage purchased, and the type and dollar amount of applicable liability. While the certificate itself conveys extensive information about the insurance in force for the named insured, it provides no actual benefit of insurance to the certificate holder (the party receiving the certificate).

All fields marked with an asterisk (*) require completion.

  1. Open the Vehicles module of the account you plan to edit.
  2. Find the vehicle within the list. Under the action menu, click COI.
  3. Fill out the fields on the Certificate Issuance page:
    • Select an Account.
    • Select a Certificate Holder.
    • Select a Non-renew Date if needed.
    • Available auto policies will be available in the Certificate Policy field.  If there is only one available, the field will pre-fill with this policy. If there is more than one, select a policy from the drop-down menu.
  4. Confirm the vehicle under Exposure Evidenced.
  5. Review information in the Policy Overview section.  The ACORD form selected for the Certificate Policy field will be listed here.
  6. Fill out the remaining sections.  The policy you selected under Certificate Policy, along with information specified on the ACORD form used, will determine which other sections require data.
  7. For Standard Verbiage, phrases can be selected to appear in the description text box.
  8. The description text box will be pre-filled with standard verbiage and will include details of the vehicle. Depending on the type of ACORD form used, this field may say Description of Operations/Locations/Vehicles, Special Conditions/Other Coverage, or Property Information.  Change verbiage as needed.
  9. Click Generate Certificate.  The creation of a new certificate requires approval by an agent.

When selecting a policy for a vehicle COI, only auto policies will be available. To designate a certificate policy as an auto policy, you will need to use the Certificate Policies module.  Select an ACORD 25 form and, under the Automotive Liability section, check the box labeled COI Policy. Editing information in the description text box of the COI will require an approval.
